Repeated Course Grade Exclusion Petition

Use this form to request the exclusion of a substandard grade (D, F, or NP) after repeating the course either within the Coast Community College District or at another accredited institution.

Course Repeated Within Coast District (OCC, GWC, CCC)

  • If you are currently enrolled in this course, please wait to submit this form until your final grade has posted to your official transcript.
  • If you are enrolled in an equivalent course anywhere in the Coast District (GWC, OCC, or CCC), you may not need to submit this petition. The exclusion notation (E/I) is automatically applied at the end of the term once all grades from all district colleges have posted.
    • Please note: Winter Intersession is part of the Spring semester, so exclusion notations will not be applied until all Spring grades have posted, even if your Winter course ends earlier.

Courses Repeated Outside the Coast Community College District

  • If you repeated the class at a school outside the Coast District, you must submit an official transcript from that institution. We cannot process your request without it.
  • If the school sends official transcripts electronically, they may be emailed directly to gwctranscripts@gwc.cccd.edu
    • Electronic transcripts must be sent by the institution or its authorized agent.
  • Transcripts that are forwarded by the student cannot be accepted.


Form Guidelines
Students who earned a substandard grade (D, F, or NP) in a course may repeat the course at any regionally accredited college or university to alleviate the substandard grade earned at Golden West College (GWC), if the repeated course is determined to be equivalent to the original GWC course. Course equivalency is verified by the appropriate academic department at GWC.

Before repeating a course, students are strongly encouraged to consult with the GWC Counseling Office to confirm that the course they plan to take is equivalent to the original GWC course.

If the repeated course was taken outside of the Coast Community College District, the student must submit official transcripts from that institution. In some cases, students may also be required to provide a catalog course description and/or course outline from the institution where the course was repeated.

If the petition is approved, the student’s academic transcript will be annotated with an Exclusion (E) notation on the original substandard grade. This removes the course from the GPA calculation for the purposes of certificates, degrees, and academic standing. However, the original course and grade will remain permanently on the transcript and will not be removed.

Note: Transfer institutions may have their own grade policies. Some may count both grades in their GPA calculation, while others may use only the first attempt when determining admission eligibility.

A grade of “W” is not eligible for exclusion and will always remain on the transcript.
